What are your hours?
Services are offered Monday through Friday between the hours of 9:00am to 5:00pm, please contact us for availability. Availability may vary depending on assigned therapist.

Where are you located?
We do not have a physical location that clients can visit. Services are provided in-home, via Zoom, or in some instances in a facility. As of 2025, we are only accepting new clients within a 15-mile radius of the 33803 (Lakeland, FL) zip code. If you fall outside of this radius, we are happy to refer you to a music therapist closer to your area.

Do you take insurance or any scholarships?
Yes! Swan City Music Therapy is a direct pay provider for the Family Empowerment Scholarship for Students with Unique Abilities (FES-UA; formerly Gardiner). If your child is a recipient of this scholarship, we are able to bill the scholarship directly for music therapy services through the EMA portal.

If your child has CMS/Sunshine we will provide their doctor with the necessary authorization form, which can also be found here. Their primary care provider will need to complete this form and fax it to the health plan along with a prescription for music therapy and clinical information. We are unable to begin services until we receive the authorization directly in our billing portal. You may receive a confirmation from your insurance provider or your child's doctor's office that services have been approved, but we are still required to wait until we receive the authorization on our end. We appreciate your patience with this process as it can take additional time.

What is music therapy?
Music Therapy is the use of music-based interventions to address non-musical goals. For example, using songwriting to help a client regulate emotions or using music to aid with transitions in a client's schedule. You can visit the American Music Therapy Association's website to learn more.

I submitted the contact form... What's next?
Currently, both of our therapists are completely booked and unable to take new clients. We are actively looking to hire another music therapist but in the meantime, you will be placed on a waitlist. At this time, we are unable to provide an ETA on when we will have openings. Updates will be provided when we have them and we appreciate your patience!

How do I pay for services?
If you are paying using FES-UA, you will request services via your child's EMA portal.
If you are paying for services out of pocket for an individual, your options are to pay in TheraNest (Client Portal) using a credit card, check, or cash. You can find more information in the policies and procedures packet from your intake paperwork. As of 2025, facilities are required to pay for services via direct deposit or credit card payment in the client portal.

If you are using CMS/Sunshine, you will not have any out of pocket costs. You will not receive any sort of bill for services from Swan City Music Therapy.

How will I be notified of a waitlist opening?
You will be contacted via phone/email (depending on your indicated preference) of a waitlist opening. The therapist will provide their availability and you will have approximately 7 days to confirm whether or not you fit into their schedule. If you do not fit into the schedule or we don't hear back from you in time, the therapist will need to move to the next client on the waitlist and you will remain in your spot until we can match you with a therapist.
